Microsoft Authenticator and TOTP
Microsoft Authenticator can store two-factor authentication secrets and display TOTP codes. When an account is added, the user scans a QR code or enters the secret manually. The app then calculates a fresh code every short interval.
The algorithm is compatible with other TOTP tools. If the same Base32 token is added to Google Authenticator or a TOTP generator online, the result should match as long as time is synchronized.
How It Differs from an Online Generator
A mobile app is convenient for permanent personal accounts: the secret stays on the device, phone lock protects access, and codes are available without opening a browser tab. An online tool is more practical for temporary access, support, and team runbooks.
The right choice depends on the workflow. For personal email or banking, use an app. For a test account or controlled team process, an online generator may be easier to document and audit.
Practical Tips
Save recovery codes, do not keep QR code screenshots after setup, and do not send Base32 tokens through open channels. If the device is lost, disable the old factor and configure 2FA again.
If a Microsoft Authenticator code is rejected, check phone time, the selected account, and whether the 2FA secret has been reset.
